AI for small business workflows: what it can and cannot do

Artificial intelligence is most useful in a small business when it is aimed at a concrete task, not used as a general promise. Its strength lies in working with text and documents, where people spend a lot of effort reading, sorting and summarising.

Reasonable uses include classifying incoming emails by topic or urgency, pulling the main data out of tidy documents, summarising long conversations and drafting replies for a person to edit. In each case the output is a suggestion that someone reviews before it goes any further.

It also has limits worth knowing about. It can make mistakes, produce confident but wrong statements or misread an unclear document. For that reason it should not take important decisions or send messages without review, and it should be tested on real examples from your business first.

Data protection deserves attention from the start. If the work involves personal or confidential information, you need to decide where it is processed and who can see it, and choose the solution with those answers in hand instead of discovering them later.

If you have a task in mind, tell us about it in the form. We can say whether AI is a good fit, how it could be tried with little risk and what role the reviewing person would play.
